USING HOPIN AS an attendee

Important: It is recommended for attendees to use their personal laptop/computer when accessing the event link. Please be guided and read the attendee's code of conduct. 

For Saudi Aramco employees, please access the event link using the Microsoft Edge browser.


REGISTERING AND CREATING YOUR PROFILE 

Registration is free for everyone to attend GDA 2021 Virtual Pre-event. Once you complete your registration, you will receive a confirmation email with the link to join the event and further information on how to use the Hopin platform. The email will be sent from info@e3-worldwide.com with the subject line "Your access to GDA Virtual".

Click on the ‘Click to join’ button in this email and follow the steps below to create your profile for the event. Creating your profile is an important step to ensure that you can network with other attendees that are the most relevant to you to make the most out of the B2B and networking opportunities throughout the two days.

1. SESSIONS

The Sessions area is where all the discussions and presentations will take place. You can ask questions directly to the speaker through the chat feature.

In-app Messaging and Private Video Calls
Check out who else is attending and make meaningful connections through-out the event! You can explore who else is attending the event by clicking on the ‘People’ tab. You can search by keywords including company name or title, and see the professional background information of other attendees. This platform allows you to send personal messages to other attendees and invite them for a video call.

2. NETWORKING AREA AND NETWORKING WITH OTHER ATTENDEES

Participate in the “Networking” area 
The Networking area automates the discovery of new connections based on your profile via one-on-one meetings that are similar to a FaceTime call for a set time of 60 seconds. You can leave at any time and be given the option to click the "Connect" button during the call to exchange contact information. 

3. DIFFERENT CHAT WALLS AND Q&A's

There are four different chat walls on Hopin, the Event, Stage, Session and Expo chat. The event chat is for symposium-wide discussions. It’s accessible on every page of the platform. The stage and session chats are for discussions during stage or session presentations. Expo chat allows the attendee and the exhibitor to chat on the booth. 

Attendees can share their questions to the speakers on the stage or session chat wall while questions to exhibitors can be shared on the expo chat wall.

CREATING YOUR SCHEDULE

The full event schedule is listed on the homepage or 'Reception' area of the Hopin platform. All the discussions on each event day are listed, and you can also search (Crtl + F) a session title or a speaker name. 

If you find a session you are interested in attending, you can add to your calendar by clicking on the calendar icon on the right side of each session.

FREQUENTLY ASK QUESTIONS: 

What is Hopin Networking? What happens when I click the Ready button?

You can meet random attendees through one-on-one video networking and this option is only available during breakout sessions. 

When an attendee clicks the Ready button they are immediately matched with a random fellow attendee via face-to-face video, similar to chat roulette. Meetings end automatically after 3 minutes. Attendees can leave at any time.

What happens when I send an attendee a direct message?

Attendees can message each other through direct messages. To send a DM, find the person you wish to chat with in the People tab, click their profile photo and send the message. A red dot in the recipient’s People tab and on the envelope icon (top right) will let them know they have a new message.

What happens when I invite another attendee to a video call?

The attendee will receive a direct message letting them know that you’ve invited them to a video call. You will both receive a link to a private session room within Hopin. The room will allow up to five people to share their webcam, therefore you may share the link with up to three other people.

How do I access the online conference?

Make sure that you are registered, click here if you have not. Once registered, attendees will receive an email from “GDA Virtual < team@hopin.to >” with the subject “Your registration to attend has been confirmed”. The email will give you access to the official conference Hopin event. Click the "Accept Registration" button to enter the conference.

Can I join the event using a smartphone? 

Yes, you can use your smart phone to join the event, however, for better experience we highly suggest to use a personal laptop or a computer. 

What technology do I need?

Use an  updated browser for best experience. Hopin recommends Chrome and Firefox. An internet connection that allows you to participate in a Google Meet or Zoom call should be sufficient for the Hopin platform.

Do I have to download a special software to run Hopin?

No. Hopin runs in your browser.

Can I listen to the conference via a regular handset phone?

No. Audio can only be heard online through Hopin. There is no dial-in option. 

 

What’s the difference between the Event, Stage, and Session chat?

The event chat is for conference-wide discussions. It’s accessible on every page of the platform. The stage and session chats are for discussions during stage or session presentations.

What happens when I @ mention someone in the public event chat channels?

Users can type the @ symbol and a few characters of an attendee’s first name to highlight that person’s name and profile within the chat stream. The mentioned attendee does not receive a notification.

How can I get the details of the person I have connected with?

Networking conversation partners may decide to share contact information by clicking the Connect button. If both parties click Connect, the pair can find each other’s contact information (email address and social media) via the Connect section of their Hopin account.
